Case Study: Delivering a Multi-Day Healthcare Conference for 800+ Delegates

When a leading healthcare association approached us to manage their annual national conference in Jaipur, the brief was ambitious: 800+ medical professionals, three days of parallel sessions, a 40-stall exhibition area, and a gala dinner.

The Challenge

Multiple simultaneous sessions required independent AV systems. The exhibition area needed custom stall fabrication for 40 pharmaceutical companies. Delegate registration had to be smooth for 800+ arrivals on day one.

Our Approach

We started with detailed 3D visualisations of every space. Our in-house fabrication unit built all 40 exhibition stalls simultaneously. For AV, we deployed independent PA and projection systems for each hall with a centralised technical control room.

The Results

Registration was completed in under 90 seconds per delegate. All sessions ran on schedule across three days. The client rebooked for the following year before the event concluded.
